How Much Does a Trade Show Booth Cost?

A 10x10 trade show booth with a curved navy fabric backwall, a teal fitted table cover, a retractable banner stand and stacked tumblers

A 10x10 trade show booth costs more than the floor space. Here are 2026 booth space prices, display kit costs from our catalog, the show services nobody quotes up front, and a line-by-line budget.

The floor space is the line everyone budgets for. It is rarely the line that blows the budget.

So how much does a trade show booth cost? For a standard 10x10 at a U.S. show, plan on the booth space, a display you can reuse, show services billed on site, giveaways, freight and travel. This guide puts a real number on each line where one exists, using 2026 booth space prices and current display prices from our own catalog, and shows which lines only your show can price.

Quick answer

  • Booth space: a September 2026 study of 195 U.S. trade shows found a median published price of $3,700 for a standard 10x10. Half fell between $2,500 and $4,900.

  • Display: in our catalog, a 10 ft fabric backwall kit has a median price of about $1,250. A fitted 6 ft table throw is about $160 and a retractable banner stand about $245.

  • Show services: electrical, material handling, labor and carpet are billed by the show contractor and the venue. Your exhibitor services kit has the rates.

  • Everything else: giveaways, staff shirts, freight and travel. These are the lines you control most.

  • The display is the one big cost you can spread over several shows. The space and services start over every time.

Booth space: the number the organizer sets

Space is the easiest line to find and the hardest to change. In the 2026 booth price study by Portable Trade Show Displays, the median 10x10 price across 195 U.S. shows was $3,700. Prices ranged from $550 to $25,000, and the Midwest median was $3,463. Some of those prices were bare space and some were packages with extras included, so compare like with like.

Before you sign, check three things in the prospectus. First, the deadline for the early rate, since many shows charge more after a cutoff date. Second, member pricing, if the show is run by an association you could join. Third, what the booth includes. Many shows provide pipe and drape and a booth ID sign. Some add a table, chairs or a carpet allowance. Anything not on that list is yours to bring or rent.

Trade show display cost: what our catalog shows

We pulled every listing from our trade show booth displays and backwall kits catalog, plus table covers and flags, on October 11, 2026. The prices below are per unit at each listing's first price break, before freight. Catalog prices change, so treat this as a map, not a quote.

Read each line before you compare. Most kits are listed with the printed graphic and hardware together, but some listings are hardware only and some are a replacement graphic only. Lit backwalls and full fabric murals sit at the top of the range. A straight fabric wall with a single printed face sits near the bottom.

The cover on the table does more work than people expect. It is the part of the booth that shows up in every photo. Our fitted table covers and throws come in 6 ft and 8 ft sizes, with open backs if you need to store cartons under the table.

About $1,650

Upgraded

Lit or full-mural 10 ft backwall, counter kit, throw and banner stand

About $2,600 to $3,500

The starter setup works for a tabletop show or a first test of a new market. It also fits in a car. The standard setup is what most 10x10 booths look like from the aisle, a printed back wall plus a branded table. The upgraded setup makes sense once you know the show is worth returning to every year.

Outdoor events change the list. A canopy and two flags replace the backwall. See our logo canopy tents for outdoor events and feather flags and banner flags if your booth is in a parking lot, a fairground or a race expo.

Show services: the part nobody quotes you up front

Show services are ordered from the show's general contractor and the venue, not from your display supplier. Typical order forms cover:

  • Electrical. A power drop is usually ordered and paid for separately, even for one monitor.

  • Material handling. Moving your freight from the dock to your booth is often charged by weight. Heavy crates cost more to move than light fabric kits in cases.

  • Labor. Some venues require their own crews to set up larger displays. Pop-up and tension fabric kits are usually built for one or two people.

  • Carpet, internet, lead retrieval and cleaning. Check which ones the show requires and which are optional.

Venue dock and handling fees are charged by the venue, not by us, and they can be large. Order services before the early deadline in the kit. The kit will also tell you the advance warehouse dates and the show site receiving window. Miss both and your display arrives after setup, which is the most expensive way to have no booth.

Giveaways, apparel and the small things

Giveaways are where a booth budget either works or leaks. Our trade show giveaway guide suggests splitting the budget between cheap handouts, conversation rewards and a few reserved gifts. It also explains why a 10x10 does not need 2,000 identical units.

Add matching shirts for the people working the booth. Two or three embroidered polos for booth staff make your team easy to find in a crowded aisle. If your show hands out badges, a branded lanyard is one of the few items every attendee wears all day. Check lanyard and badge holder sizes before you sponsor them. For booths that need everything at once, our ready-made giveaway kits bundle several items in one order.

Space plus display

Now spread the display. If you use the same $1,650 setup at four shows, it costs about $413 per show. At the second show, your new spending is mostly space, services, giveaways and travel. That is why buying a display you can reuse usually changes the math more than any discount on the space.

If you only plan one show, ask an exhibit house for a rental quote too. Compare it to the purchase price divided by the number of shows you expect to use the display at.

How to lower the cost without looking cheap

  1. Pick fabric over hard panels. Fabric kits pack into cases, weigh less and cost less to move on site.

  2. Print one strong message. Your company name, what you do and one reason to stop. Five messages on a back wall read as none.

  3. Reprint the graphic, keep the frame. Many kits sell replacement graphics, so a rebrand does not mean new hardware.

  4. Ship once. Send the display, giveaways and apparel to the same advance warehouse with the right labels.

  5. Use the early deadlines. Space, services and freight all cost less when nobody is rushing.

  6. Measure the result. Count meetings booked, not bags handed out. Our guide to measuring what the booth returned shows how to work out cost per meeting.

What to skip

  • Budgeting from the space price alone.

  • A back wall full of small text. People read it from the aisle, at walking speed.

  • Heavy crates for a two-person team at a regional show.

  • Ordering the display after you book the space. Graphics need artwork, a proof and production time.

  • Shipping to the show site without the receiving window, booth number and on-site contact on the label.

Timing and artwork

Plan on 2 to 4 calendar weeks for a standard popular product, from approved proof and cleared payment to delivery. Display kits can run on their own production clock, so ask for the lead time on the quote. Large graphics need high-resolution or vector art at the printed size, so check our artwork file requirements before you design the wall. If the show is close, read what a 24-hour rush can and cannot do. Rush helps with some giveaways and banners. It does not move a venue's receiving deadline.

What to send with the quote

Send us the show name and dates, booth size and type (inline or corner), the advance warehouse deadline, your ship-to, what you already own, a budget range and your logo file, vector if you have it. If you want giveaways and apparel in the same delivery, add quantities and sizes. We will quote the display, the extras and freight as one plan.
